Waiting list validation

Working collaboratively with Trusts to deliver a flexible and adaptable technical and administrative validation service, we will improve the accuracy of the waiting list and ensure that it reflects the Trust’s actual position and its performance against national targets. Our experienced Care Navigation Service team combine a proven delivery model with our deep expertise in providing technical waiting list validation pathway reviews and administrative contact centre patient engagement.


NHS Acute Trusts are facing constant pressure to recover manage elective care and reduce the waiting times for patients. Trusts have been tasked to take control of elective recovery by validating their entire waiting lists, reducing all waiting times to below 65 weeks and reducing outpatient follow-up appointments.

The impact of the service

Our waiting list validation service addresses the workforce capacity and capability challenge through providing experienced Referral to Treatment (RTT) validators.

  • These validators improve the pace of technical validation of waiting lists, bringing them closer to real-time.
  • By reducing and effectively removing patients from waiting lists, the clinical prioritisation of patients in accessing appropriate diagnosis and treatment can be done in a timely way.
  • Your Trust will learn what drives the need for technical validation and receive the support needed to implement changes in practice and processes to reduce the amount of technical validation required.

Service features

Based upon repeatable, scalable, modular components that can be delivered directly or jointly with the Trust’s own resources, our service will give you a comprehensive operational view of your waiting list having accurately and robustly identified patients that can be removed from it. 

Technical validation

In collaboration with the Trust our team will plan the focus of the validation for example:

  • by waiting time - 12 weeks plus, 26 weeks plus and 52 weeks plus 
  • by speciality
  • by deprivation (IMD scale)

It will ensure that the waiting list is accurate and up to date, correct and complete, and will involve data quality checks to highlight potential pathway recording errors.

The aim is to achieve on average between 50 to 75 technical validations per person per day (depending on the complexity of the pathway to review).

Our team have worked with three NHS Acute Trusts to pilot the waiting list technical validation service. The pilot resulted in over 9,000 data quality errors being removed for the waiting list. The service has been scaled for operationally delivery.

Waiting list management

We use our extensive analytical capability and insight knowledge to provide a comprehensive view of your waiting list, from all angles - speciality, deprivation (IMD scale), or waiting times. We have gained valuable insight into typical data quality issues and pathway recording errors. This allows you to understand the actual position, providing you with insights and intelligence for decision-making and prioritisation of your efforts.

Administrative validation 

Based upon an agreed cohort list, our team will contact patients to determine whether they still need an appointment or would prefer to be taken off the list. We aim to achieve on average between 50 to 100 patient contacts per person per day (depending on the complexity of scripts).
